Most of a finance officer's week is not accounting

It is asking the field office for a receipt, copying figures into a donor's template, and finding out on Thursday what the grant had left on Monday.

We built Ovius Finance to take that work off your team. You still need someone who understands the books. They should be checking the work, not retyping it.

  • Donor reports stop being a project.Costs are tagged to a grant and a budget line when they are entered. The report is already there when the donor asks.
  • You know the balance before you spend.Programme managers can see what is left on their grant without ringing finance.
  • Approvals leave a trail.Requests are agreed in the system, not over WhatsApp, and the payment shows who agreed and when.
  • Field offices stop sending paper.Staff ask for advances, account for them and claim expenses themselves.
  • The bank mostly matches itself.Bring in the statement and only the lines it could not match are left for a person.

Switching is easier than it sounds

You do not have to stop working to move over. New entries can go into it from the first day while you bring the old records across.

  1. Set up. Your organisation, your people and what each of them may do.
  2. Bring in what you have. Opening balances, suppliers, staff and grants from your spreadsheets.
  3. Start using it. New receipts, requests and payments go in from day one.
  4. Close the month. Match the bank, check the figures, lock the month, run your first report.

Questions we are usually asked

If yours is not here, ask us.

Contact us ›
We only have one or two donors. Is this too much for us?
No. With a single pot of money you work with one fund and never see the rest. The grant tools are there when your funding grows.
Our team are not accountants.
The screens say "money received" and "payment vouchers", not accounting jargon. Each person only sees the part they are responsible for.
Can our field offices use it?
Yes. They can ask for purchases and advances and claim expenses. A manager approves, and head office sees it without retyping.
What about the records we already have?
You can load opening balances, suppliers, staff and other lists from a spreadsheet. The file is checked first and you are told what is wrong before anything is saved.
What if we want to leave?
Your records are yours. You can export them whenever you like, and if you leave they are deleted after a notice period.
Does it work in shillings and with M-Pesa?
Yes. Shillings are the default, foreign-currency grants are handled, and M-Pesa payments are tracked.
